CourtPilot ("we," "us," or "our") provides an AI-powered booking assistant that lets sports venues take, confirm, reschedule, and cancel court/pitch bookings over WhatsApp. This policy explains what information we collect when a venue's customers message our WhatsApp number, and when a venue itself uses CourtPilot to run its booking operations.

Information We Collect

• WhatsApp contact information: your phone number and WhatsApp profile name, when you message a venue's CourtPilot number.
• Booking details: the court/pitch, date, time, sport, and any preferences or notes you share to complete a booking, reschedule, cancellation, or waitlist request.
• Message content: the content of messages you send to CourtPilot, needed to understand and respond to booking requests.
• Payment information: where a venue collects payment through CourtPilot, payment confirmation details are processed by our payment provider. We do not store full card numbers.
• Venue operator information: for venues using CourtPilot, we collect business contact details, court/pitch schedules, and pricing needed to operate the service.

How We Use Information

• To respond to booking, cancellation, reschedule, and waitlist requests in real time.
• To confirm bookings and send reminders via WhatsApp.
• To keep a venue's booking calendar and records accurate and up to date.
• To offer cancelled or freed slots to customers on a waitlist.
• To improve the reliability and accuracy of our booking assistant.

How Information Is Shared

We share information only as needed to operate the service:

• With the sports venue you are booking with, so they can fulfil your reservation.
• With WhatsApp/Meta, as the messaging channel through which the service operates.
• With our workflow automation, scheduling, and payment infrastructure providers, solely to process bookings, calendar syncing, and payments.

We do not sell personal information, and we do not share your information with third parties for their own marketing purposes.

Data Retention

We retain booking and messaging information for as long as needed to provide the service, maintain accurate venue records, and meet legitimate business or legal requirements, after which it is deleted or anonymized.

Your Choices

You can stop messaging a venue's CourtPilot WhatsApp number at any time. To request access to, correction of, or deletion of your information, contact us using the details below.

Security

We use reasonable technical and organizational measures to protect the information we process, appropriate to the sensitivity of that data.

Children's Privacy

CourtPilot is intended for use by adults booking sports facilities and is not directed at children.
